Automated personalized outreach for brand selling customized logo mats to businesses

I work mainly with the sellers selling customized / personalized products. Here is a workflow I have tested recently, that is working well – I built this for a seller selling mats with company logos on them. Their ICP is local businesses having offline stores like salons, merch stores, company offices etc. AI agents running 24×7 handle this autonomously:

Prospecting

  1. ICP and location is clear. I connected DataforSEO MCP to query the map listings by area, getting their websites, socials, email and phone.
  2. Connected brightdata scrappers for Instagram and LinkedIn to understand how active the business is – how frequently they post and how is the interaction on their posts.
  3. Based on the contacts available – phone + email vs only email and social media signals, I built a simple rating system for the prospects – Strong, Medium, Weak

Strong – Email (key person) + Website + Phone + strong social media signals
Medium – Email (generic) + Website + strong to medium social media signals
Low – No email / website / low-now signal but still ICP

Simple CRM

  1. Used google sheets to store everything so it is easily browsable by both the agent and humans with fields: Business name, website, phone, email, linkedin, instagram, facebook, etsy, source, rank, sourced_at, status, outreach_1, reply_1
  2. This system also helps in generating queries. The kind of prospects that are replying/working are searched more the next time. Basically, this serves as lookalike audience.

Sending

  1. I bought 2 new mailboxes (zoho) – one for a subdomain and one for a similar new domain and connected them with TrulyInbox for email warmup.
  2. After 3 weeks of warmup, slowly started sending out emails to the collected contacts.
  3. Personalization: I fetch brand's logo (with variants if possible) and generate images with nano banana of how their brand logo would look on different kind of mats.
  4. The mail body is really simple just 3-4 sentences with 1-2 images.

Handling replies

The agent monitors the inboxes and does 2 things:

  1. Answers queries it deterministically can – price quotes, timelines, shipping/delivery.
  2. Escalates to human via telegram where a query requires a business nuance.

Measuring and iterating

Agents run 24×7 and doubles down on what's working – the kind of businesses that are replying, the kind of email wording that's working, email sending time/days.

It has been close to 3.5 months this setup has been running – including the warmup time. With 2 inboxes, we are able to send close to 50 emails a day.
